Inviting number of Government officials to attend an event/ webinar
The attendees will be selected upon the relevancy of the event’s topic
Influence Public Affairs (IPA) supports the clients in reaching out to all the required government officials, International organizations and private sector to attend its event. This will be implemented by the assigned team through different tactics divided to pre, during and post event as follows:
Pre-Event Tactics:
· Mapping and providing a comprehensive list of invitees including prominent figures related to the event’s topic.
· Developing all written content such as letters, invitations, etc.. required to secure the attendance of the prominent figures.
· Communicating with the list of invitees through sending out invitation via e-mails, conducting phone calls, meetings, etc.
· Conducting the needed follow up on the invitees and providing a weekly status report.
· Advising on the appropriate protocol before dealing with government officials aiming to maintain the sufficient rapport and sustain the desired ties.
During Event Tactics:
· Conducting a final Follow up with all the confirmed guests to reassure their attendance.
· Welcoming the guests and implementing the protocol.
· Handling the VIP lounges and ensuring that they are fully equipped.
· Ensuring that all the guests are seated according to the preset seating chart.
· Responsible of the VIP registration desk.
Post Event Tactics:
· Sharing with the final list of attendees.
· Disseminating letters of appreciation to the attendees.
